Monthly bookkeeping · QuickBooks Online

Closed, reconciled, and in your inbox by the 15th.

Monthly QuickBooks Online bookkeeping for U.S. small businesses that want current numbers, not a scramble every April.

Why monthly matters

Books done once a year are a record. Books done monthly are a tool.

Annual bookkeeping tells you what already happened, long after you could have done anything about it. By the time last year’s numbers are reconciled, the decisions they should have informed are eleven months gone.

A monthly close changes what your books are for. Cash flow becomes something you read rather than guess at. Tax season becomes a handoff rather than a reconstruction. And problems, a duplicated charge, a client who stopped paying, a subscription nobody remembers approving, surface in weeks instead of years.

What is included

Every month, on a documented schedule.

Accounts reconciled to your statements

Every bank account, credit card, and payment processor reconciled against the actual statement. Not approximated, not rolled forward. If something does not tie out, it gets resolved before the books close.

Every transaction categorized and reviewed

Transactions coded to a chart of accounts built around how your business actually operates, with rules that get sharper each month. Anything ambiguous comes back to you in one consolidated email.

Statements by the 15th business day

Profit and loss, balance sheet, and cash position, delivered on a fixed schedule so you can plan around them.

A written summary you will read

A short plain-English note on what changed this month and what is worth watching. Not a data dump. The two or three things that matter.

Email support between closes

Quick questions answered without a meeting, a ticket number, or an hourly charge.

How it works

Four steps, about an hour of your time to start.

Book a discovery call. About 25 minutes to understand your business, your accounts, and your transaction volume. No pitch, no pressure.

Accept your proposal and connect. A fixed-price proposal based on what your books actually need. You grant read-only bank feed and accountant access. Most owners finish onboarding in under an hour.

The monthly close. Every account reconciled, categorized, and reviewed on a documented schedule. Questions arrive in one tidy email, not seventeen messages.

Reports in your inbox. Statements by the 15th business day with a short written summary. You read them when it suits you.

Who this is for

Built for owners who want the books off their desk.

A good fit

Not the right fit

You need payroll processing or tax filing, neither of which I offer. You need same-day turnaround on ad-hoc requests. You want your bookkeeper on a weekly video call.

And if your books are more than a few months behind, start with cleanup and catch-up first, then move to monthly.

Monthly plans

Flat monthly fees. No contracts. No hourly meters.

Final pricing depends on your transaction volume and number of accounts, and is confirmed in your proposal before you commit anything. Cancel anytime.

Questions, answered

What owners ask about monthly service.

By the 15th business day of the following month, provided your bank feeds are connected and any outstanding questions are answered. If something will be late, you hear it from me before the deadline, not after.

Your fee is based on a three-month average. If your volume shifts meaningfully in either direction, we revisit the price. It moves down as readily as up.

No. If you are on another platform or on spreadsheets, QuickBooks Online setup is a separate one-time project, and I will tell you honestly whether the move is worth it.

Anytime. There is no contract and no notice period. Your QuickBooks file is yours; you keep full access to everything.

Backlog gets handled as a cleanup project first, quoted separately at a fixed price. Monthly service starts once your books are current, because there is no point maintaining records built on an unreconciled foundation.
